One mishap can ruin the general atmosphere of the meeting and cause disharmony among the participants. To ensure the meeting will be profitable, employ proper etiquette techniques and practice common courtesy.
A moderator should always call from a landline phone, as this will decrease the chances of static or a dropped-call. In addition, it is best to call from a quiet area, or room, with all appliances temporarily turned-off. Until the telephone meeting is completely finished, call waiting should always be blocked to eliminate any annoying and irritating beeping sounds. This is often the cause of meeting being disconnected, as being unfamiliar with how to change over the lines can result in all calls being dropped.
It is important for moderators to give their name prior to the start of the meeting. In addition, all participants should state their name before commenting because it can sometimes be very difficult to keep track of who is speaking. The moderator should call participants by name when speaking to them, and allow all participants to speak freely without interruption.
At the end of the meeting, the moderator should always allow the participants to ask questions and voice concerns. This is a time for participants to give their input and question any information given by the moderator. It is important for the moderator to remain patient, and answer all questions carefully and thoughtfully.
